Hiring Range The University of California, Merced is required to provide a reasonable estimate of the compensation range for this role.
This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs.
It is not typical for an individual to be offered a salary at or near the top of the range for a position.
Salary offers are determined based on final candidate qualifications and experience.
The budgeted salary or hourly range that the University reasonably expects to pay for this position is STEP 1 of CX represented position is $27.
00/per hour.

About the Job The Program Coordinator (PC) will be a direct report to the Program Manager and assigned to work in support of a Program Chair to execute their responsibilities by providing administrative support, project management, and policy consultation.
The Program Manager will assign tasks and duties to the PC varying in scope and complexity.
The PC will support Program Chairs in administering activities with occasional coverage provided as backup or overflow capacity for other programs or departments.
KEY RESPONSIBILITIES Planning and Logistics: Provide Program Chairs support in relation to the following areas: managing space assignments; scheduling room reservations; ensuring program compliance with health and safety regulations from the campus EH&S office (e.
g.
, maintaining training schedules and communicating necessary information to Program Chairs), logistics, and planning related to curriculum and teaching assignment.
Additionally, the PC will manage program events, as needed: Provide planning and implementation support for Grad Visitation Week and Graduate Orientation Week.
Financial Tasks and Support: The PC will provide the Program Manager and Program Chair with support as they administer the programs’ financial affairs: Develop/prepare complex budgets and financial reports for funding.
Consult with internal, external, and campus-wide financial experts to create guidelines on best practices in financial management and purchasing.
Integrate reports to create a current and accurate comprehensive financial picture to ensure financial integrity.
Gather, analyze, prepare, and summarize financial reports.
The PC will work closely with the financial staff of the school.
The PC will support the Program Manager and Program Chair to track financial deadlines and ensure compliance with standard operating procedures.
The PC will be responsible for program equipment and property tracking per University's requirements.
The PC will coordinate travel and hotel reservations for the Program Chair, as well as travel and hotel reimbursements for students and academic employees.
The PC will manage venue reservations, catering, and reimbursements for a variety of graduate group events.
They will also manage Graduate Group's financial interactions with CBS2 and other departments as needed, including submission of expense reimbursements.
Program Record-keeping: Manage program records, obtain and compile information, research and create reports, and organize and maintain online document storage for the program.
Provide support to manage and retain fundamental records related to budget, assessment, teaching and TA assignments, recruitment, health and safety, course scheduling, syllabi collection, textbook lists, etc.
Develop and implement procedures for classroom supply inventory.
Administer facilities and space logistics and manage equipment needs.
The PC will be a thought partner to the Chair in managing the Program.
The PC will take departmental meeting notes that record deliberations and, in partnership with the Chair, manage the projects and tasks needed for a smoothly functioning academic program.
They will manage process dates and deadlines, plan communications with faculty and other staff, and perform other tasks as needed.
Provide clerical support for Graduate Group Events and Seminars, including coordinating seminar plans with the faculty Person of Contact, faculty hosts, and the graduate chairs prior to each semester.
Miscellaneous: The PC will contribute to continuous process improvement by maintaining an ongoing feedback loop with the chairs regarding faculty, staff, and student experiences and will research questions and/or work with other units for process improvement initiatives.
Assist graduate students with course registration.
Hold graduate student office hours to provide additional support to students or graduate chairs.
For example: assisting students to complete paperwork related to degree requirements/milestones.
If needed, manage the lab rotation schedules for new graduate students.
Serve as liaison between Program and School Dean’s office, as well as central offices such as Academic Personnel, Procurement, Space, Web management, Facilities, IT, Registrar, and Human Resources: The PC will answer questions and connect with appropriate people within the schools to convey information to the chair, faculty, or graduate students within the program.
Coordinate internships and professional experiences for SNS graduate students.
The PC will advise Program Chairs and faculty on campus policies and procedures regarding campus business services and related systems.
Provide training to new faculty, including onboarding and professional development support.
Plan and manage events and online engagement targeted to supporting graduate students' academic and career goals.
The PC will plan and manage the design and drafting of program website content.
The PC may serve on committees, representing the program/unit, and may lead a small staff of support employees and/or students.
Qualifications EDUCATION and EXPERIENCE High school diploma and/or equivalent certification/experience/training High School Diploma, General Equivalency Degree (GED), or High School Equivalency Diploma (HSED) or equivalent.
(Required) Bachelor's degree in related area and/or equivalent experience/training/ (Preferred) Five (5) years of administrative/clerical work experience, or the equivalent years of work experience, which have led to the development of the skills, knowledge, and abilities essential to the successful performance of the duties assigned to the position is required.
(Required) CRITICAL KNOWLEDGE AND SKILLS Ability to analyze, organize, and prioritize work while meeting multiple deadlines.
Broad knowledge of common organization-specific and other computer application programs.
Ability to use discretion and maintain confidentiality.
Knowledge of Administrative Procedures.
Ability to provide excellent internal and external customer service.
Ability to use sound judgement in responding to issues and concerns.
Solid communication and interpersonal skills to communicate with faculty and staff verbally and in writing.
